The DSMS is available free of charge to all NCASS members, allowing you to benefit from this powerful tool at no additional cost.

The Digital Safety Management System provides users with a lot more flexibility and range that you don’t get with the paper format. With the paper system, you are bound by that one copy whereas multiple people can access and use the DSMS across multiple devices. This enables much more efficient communication and organisation across the business – at the click of a button you can update colleagues with necessary information, such as the ability to create an action to order stock, issue staff reminders or implement reminders for example.

One real benefit of using the DSMS is that it makes demonstrating your compliance a lot easier, that the business is engaged and making full use of their compliance system.

The convenience of the digital system has great potential to make life in the kitchen more straightforward; it removes the requirement to write down so much information and rely on the safekeeping of particular papers. When it comes to taking deliveries for example, you can simply take a photo and upload it to the system, so you can log all required information at a fraction of the time it would take to write the same information. This gives the business increased traceability and accountability as well as mitigating the risk of miscommunication or confusion.

Being able to retrieve risk assessments and other compliance documents such as gas certificates and insurance information as well as pulling up the compliance manual and all the daily checks, from one central place means you can keep on top of everything at a glance.

Setting up on the DSMS is really simple to do and when you’re adding your menu you can create an intuitive allergen matrix that’s easy to maintain and update and crucially for you to share with customers, so they can access constantly up to date information. We have made the allergen matrix element a versatile and useful tool that is nicely annotated with images so it is clear to infer the information for both operators and customers.

One of the biggest errors enforcement officers encounter with allergen information is that dishes are missing, so they might only see two thirds of allergen information, whereas with the DSMS all the information you have input will be present. Furthermore, the system prompts you so it’s difficult to forget. 

Any menu items added will cascade through to the daily checks you set up too, again mitigating the chances of any mistakes being made impacting your operation.

The DSMS expands what can be done beyond the remits of current paper systems, it is intuitive and simple to use and does not overcomplicate things.

There is a reporting mechanism so it’s easy to extract and present required information quickly, of course businesses still need to be able to demonstrate their compliance and explain the information to an inspector but it makes the cohesive reporting and gathering of that information a much more concise process. Ideally the business could use a dedicated tablet as the hub of their compliance operation.

Finally, the system has been assured by a Primary Authority so it does have systemic approval and as many national chains already employ a digitised system, it is a concept EHOs are familiar with and will be happy to work with – businesses being able to provide records and send any requested information at the click of a button is a win win.
